Important: Randevu is a tool for event organizers. As an organizer, you are responsible for complying with applicable data protection laws when collecting participant information.
1. What Data We Collect
All participant data is optional. Participants can choose to provide as much or as little information as they wish. Randevu supports fully anonymous participation.
When participants check in to an event or when organizers manually enter data, the following information may be collected:

1.1 Flexibility in Contact Information
Participants are free to provide any form of contact information they prefer. This can be a phone number, a messenger nickname (Telegram, WhatsApp, etc.), an email, or any other identifier. Randevu does not validate or restrict the format of contact information, giving participants complete control over how they wish to be reached.
1.2 Anonymous Participation
Participants can be completely anonymous in Randevu. They can skip providing any identifying information and still participate in sympathy selection. However, organizers may have their own rules or requirements for participation that go beyond what Randevu enforces.
1.3 Organizer Account Data
When you create an organizer account, we collect:
- Email address (for authentication and notifications)
- Name (for account identification)
- Organization information (if provided)
- Usage data (login times, feature usage, etc.)
2. Why We Collect This Data
All data collected serves specific, legitimate purposes related to event management:
2.1 For Participants
- Identification: Names and photos help participants recognize each other and review sympathies after the event
- Communication: Contact information and email addresses enable participants to connect with their matches
- Match Calculation: Sympathy selections are processed to identify mutual interest and generate results
- Result Delivery: Email addresses allow automatic delivery of match results
2.2 For Organizers
- Event Management: To provide tools for organizing, tracking, and managing speed dating events
- Account Administration: To authenticate you, communicate important updates, and provide support
- Service Improvement: To understand how the platform is used and improve features
2.3 Legal Basis
We process participant data on behalf of organizers. Organizers are responsible for obtaining appropriate consent or establishing another legal basis for data collection under applicable data protection laws (such as GDPR, CCPA, etc.).
3. Who Can Access This Data
3.1 In the Admin Panel
Only event organizers with valid accounts can access participant data through the Randevu admin panel. Organizers can view and manage all data for their own events, including:
- Participant names, contact information, and photos
- Sympathy selections and calculated matches
- Check-in timestamps and status
Organizers cannot access data from events they did not create or are not authorized to manage.
3.2 Result Pages
After an event, results are generated as individual web pages with unique URLs (containing a UUID). These pages are:
- Publicly accessible to anyone with the specific URL
- Not indexed by search engines
- Available for 30 days after the event
- Automatically hidden after 30 days (data remains in the admin panel)
Important: Result URLs should be treated as private links. Anyone with the URL can view that participant's results, including mutual matches and contact information.
3.3 Third Parties
We do not sell, rent, or share participant data with third parties for marketing purposes. Participant data remains within the Randevu platform and is accessible only to authorized organizers and via result page URLs.
4. How Long We Retain Data
4.1 Participant Data
Participant data is retained in the admin panel for as long as the organizer maintains their account and the event. We do not automatically delete historical event data, allowing organizers to:
- Reference past events for planning future ones
- Maintain historical records for their business purposes
- Comply with their own record-keeping requirements
4.2 Public Result Pages
Result pages are publicly accessible for 30 days after the event date. After 30 days:
- Public result URLs automatically stop displaying any information
- Attempting to access an expired result URL shows no data
- Data remains available to organizers in the admin panel
4.3 Organizer Account Data
Your organizer account data is retained for as long as your account is active. If you close your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal or regulatory reasons.
5. Data Deletion and Anonymization
Randevu includes a built-in anonymization feature. Organizers can anonymize participant data with one click when requested or when no longer needed.
5.1 Participant Data Deletion Requests
If a participant wishes to have their data removed from Randevu, they should contact the organizer who ran their event. The organizer can then:
- Use the anonymization feature to remove all personal information while keeping event structure intact
- Manually delete the participant record entirely
When anonymization is applied, all personally identifiable information is permanently removed and cannot be recovered. Event-level data (such as match counts and statistics) remains available for the organizer's records.
5.2 Contact for Data Removal
For participants: Contact the organizer who ran your event directly. Organizers have full control over their event data and can process deletion requests immediately.
For organizers: If you need assistance with data deletion or have questions about the anonymization feature, contact us through the support channels in your account dashboard.
5.3 Automatic Data Minimization
After result pages expire (30 days), public access to participant data is automatically removed. Organizers are encouraged to use the anonymization feature for older events to minimize data retention.
6. Data Security
We implement reasonable technical and organizational measures to protect data against unauthorized access, loss, or misuse:
- Encrypted connections (HTTPS) for all data transmission
- Access controls limiting who can view participant data
- Secure authentication for organizer accounts
- Regular security updates and monitoring
However, no system is completely secure. As noted in our Terms of Service, during the beta period, data security is provided on a best-effort basis. Organizers should maintain their own backups of critical data.
7. Organizer Responsibilities
As an event organizer using Randevu, you are responsible for:
- Obtaining appropriate consent from participants before collecting their data
- Providing participants with information about how their data will be used
- Complying with applicable laws such as GDPR, CCPA, or other data protection regulations
- Responding to participant requests for data access, correction, or deletion
- Using the anonymization feature when participants request data removal or when data is no longer needed
- Securing access to your organizer account with a strong password
Randevu provides the tools, but you control how data is collected and managed. Ensure your practices align with your local privacy laws and regulations.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. When we make significant changes:
- We will update the "Effective Date" at the top of this page
- We will notify organizers via email or through the platform
- Continued use of the platform after changes constitutes acceptance
